The Spots with the most problems report helps you find the Spots with the most tasks, service requests or messages created during the selected period. You can compare a single data source or their combined totals.
The report's name does not mean that every entry is a confirmed fault. The count may include, for example, routine maintenance tasks and measurement messages. Select the data sources and filters according to what you want to find out.
Open or add the report
In the browser service's main menu, open Dashboard → Report pages and select a report page. This report is used in the browser service; the Android and iOS apps do not have this report page function.
If the report is not yet on the page, a local administrator can select Add new report at the top of the page, find the Spots with the most problems report and drag it onto the page. Adding the report and permanently saving its settings require local administrator permissions. General instructions for arranging pages are in the article Adding and arranging a report.
The results include only Spots and source entries that the user has permission to read. Different users may therefore see different counts with the same filters.
Select the period and data sources to count
Open Settings in the report's title bar. In the Time filters section, select Tme period for the data. The default period for a new report includes the current calendar month and the five preceding months. For example, in October, the default period is 1 May–31 October. A relative period changes as time passes; a fixed date range is suitable for reviewing the same historical period. The start and end dates of the date range are included as full days.
The period filters the creation date of tasks, service requests and messages, rather than their completion date, due date or the Spot's creation date. A task created before the period is not included simply because it is completed during the period. Day boundaries follow the user's time zone; if no time zone is set, Helsinki time is used.
Open the All filters section in the settings. Select the data sources to count in their respective sections:
- Service requests: Data based on service requests.
- Messages: Data based on messages.
- Tasks: Data based on tasks.
All three options are selected in a new report. Clearing an option excludes that data source from both the counts and the selection of Spots with the highest entry counts. If you clear all three options, the report is empty. Changing the filters updates the chart.
The chart compares Spots over the entire selected period. It does not show daily or monthly trends, and this report has no option for grouping by time. General instructions for selecting periods are in the article Report periods and filters.
Filter the entries for a meaningful comparison
The shared folder, Spot and customer selections in the All filters section restrict which Spots are compared. The folder filter includes the selected folder and its subfolders. The customer filter finds Spots in folders linked to the customer and their subfolders. It does not filter entries by, for example, the person who submitted a service request.
Priority filters all three data sources according to each entry's own priority. Other source-specific filters apply only as follows:
| Section and option | What does the filter affect? |
|---|---|
| Service requests: Category | Only service requests in that category. |
| Service requests: Responsible workers | Only service requests assigned to the selected responsible worker roles. |
| Messages: Message type | Only messages of the selected message types. |
| Tasks: Completed by | Only tasks marked as completed by the selected user; this does not refer to the task's creator or responsible party. |
| Tasks: Task responsible | Only tasks for which the selected users or roles are responsible. |
| Tasks: Work order | Only tasks linked to the selected work orders. |
The different filters apply together. For example, selecting a message type does not remove tasks or service requests from the combined total. If you want to compare only messages of a particular type, also clear the task and service request data options.
What do the counts mean?
Each task, service request or message that meets the filters and is linked to a Spot is counted once in its own data source. An entry without a Spot link is excluded from the comparison. The same entry is not counted multiple times because, for example, a task has several responsible parties.
The counts from the selected data sources are added together to give the Spot's combined total. For example, 2 tasks, 3 service requests and 1 message give a combined total of 6. When message data is excluded, the combined total is 5. A service request and a task related to the same event are two separate entries; the report does not merge them into a single fault.
The report does not itself restrict the data to open, unfinished, overdue or confirmed faults. Completed and cancelled entries may also be included if they meet the filters and access permissions. The Spot's operating status is not a filter in this report: the report is not automatically restricted to active Spots or Spots marked as faulty.
The figures are whole entry counts. A message's numeric value, such as a temperature or meter reading, does not change its weight: one message counts as one. The report does not calculate percentages, utilization rates, fault frequencies or counts per operating hour. The counts have no divisor or rounding.
Interpret the chart and the 60-Spot limit
The default display is a stacked bar chart whose segments correspond to the selected data sources. Check the colors in the chart legend. Hover over a bar to see the Spot's name and the counts for each source.
The report first selects up to 60 Spots with the highest combined totals. Spots with a combined total of zero are excluded. The selected Spots are then displayed from the lowest combined total to the highest; Spots with the same total are sorted by name. The first Spot in the chart therefore does not have the highest count.
If more than 60 Spots meet the criteria, the limit notice in the report shows the number of Spots displayed and the total number of Spots that meet the criteria. In that case, the sum of the displayed bars is not the total for all the filtered data. Filter by folder or Spots, for example, to examine items that have been left out. Changing the data source, period or filter may also change which Spots are displayed.
Check and save the results
Check the selected period, the three data source options, the source-specific filters and any notice about the 60-Spot limit. If a count seems incorrect, compare that Spot's tasks, service requests and messages separately using the same creation period and equivalent filters. Also check completed and cancelled entries and your own read permissions. There are separate instructions for investigating an empty result.
A local administrator saves the new report and the page's filters using the Save the page button at the top of the page. The selections for an already saved report can be saved using Save Settings in its title bar, which appears when the settings are open. Saving changes the report's settings, rather than tasks, service requests, messages or their history.
Open the page again and make sure the report and selections were retained. A saved report is not a frozen snapshot: the counts are based on the entries and access permissions available at the time, and a relative period shifts as time passes.
