A price list lets you set product prices for a specific group of customers. You need permission to manage price lists. Complete the steps below in the browser version.
- Open Price Lists and select Create new price list.
- Enter a name, status and any additional information needed.
- Set the Start time and End time. Both dates are required.
- Select Create new price list. Then open Products, select Link products and set the products' prices for this price list.
- Open Customers and link the intended customers.
- Save and check the products, customers and validity period.
You can also create a price list directly for a saved customer contract:
- Open the contract and its Customer price lists tab.
- Open Directly linked to this contract and select Create new price list. This action is available when you can edit the contract and no price list is directly linked to it yet. You also need permission to create a price list.
- Fill in the price list's basic information and validity period, then select Create new price list. The price list is automatically linked to the contract you have open.
- Add products and their prices in the price list that opens.
A price list linked to a contract can be used to determine product sales prices for the contract's customer without a separate customer link. The price list must be active and within its validity period. The contract's status must be Waiting for start date, Active or Waiting for end date. This means that a price list for a contract that is still waiting for its start date can also take effect based on the price list's own validity period.
When a customer-specific sales price is calculated for a product on an offer, task or service request in the browser version, the product is first looked up in active price lists that are directly linked to the customer and within their validity periods. If the product is not found in those lists, it is looked up in contract price lists that meet the conditions. A price list linked directly to the customer therefore takes priority for each product. If the product appears in several contract price lists, the price from the price list created first is used.
The price list price is not necessarily the final sales price: whether it is used depends on the Sales Price Calculation Waterfall and the position of the Customer-Specific Price rule within it. The calculation uses the first rule that produces a price greater than zero.
You can view the contracts associated with the price list on the Contracts tab. Check the contract's own billing rows separately when assessing how the price affects billing.
Choose a name for the price list that makes its purpose and validity period easy to identify. The same product may display both prices from the product register and a price from the price list; make sure you know which price you are editing.
If a customer does not appear to be linked to the price list, check the customer link and the price list's status. Adding a product to a price list does not link any customers to it. If the price list is linked through a contract, also check the contract's customer and status, as well as the price list's validity period.
