Spot utilization on report pages shows a percentage based on the usage schedule and the Spot's statuses. Machine Hours shows the recorded total reading of the device's hour meter. Neither refers to a person's working time entries.
Prerequisites and opening a report
In the browser's main menu, open Dashboard → Report pages and select a report page from the selector at the top of the page. The report data is limited to Spots you have read access to. The same report may therefore show different results for different users.
Adding reports and saving settings permanently requires administrator permissions. Add a report using the Add new report button at the top of the page: find Spot utilization or Machine Hours and drag the report onto the page. Save the new report and its selections using Save the page. If needed, see adding and arranging a report.
Utilization requires a valid usage schedule and calculated historical data. The Spot selector in the machine hours report offers devices with Hourly maintenance in use selected. Enabling the feature alone does not guarantee that readings have been recorded for the selected period.
Select the time period and targets
Above the chart, Tme period for the data selects the period covered by the data. Time grouping for data selects the intervals for the data points: Per day, Per week or Per month. Both reports default to monthly grouping and the current and previous calendar years.
Year view does not allow daily grouping. First change the time period to, for example, a date range if you need daily results. For utilization, grouping also changes which precalculated percentage data is used; for machine hours, it changes the period from which the last reading is retrieved. More detailed time options are described in report time periods and filters.
Open Settings in the report's title bar. All filters in the panel that opens on the right contains the target filters. You can filter utilization by folder, Spot, customer and Spot attributes. The folder filter also includes Spots in subfolders. For machine hours, the Spot selection is required: select the devices to compare before viewing the results.
An administrator saves changes to an existing report using Save settings in the title bar. Other users can adjust the view but cannot save the report settings permanently. Reopen the saved page and check that the desired filters were retained.
How is utilization calculated?
The daily calculation uses the schedule valid on that day in this order: the Spot's own schedule, the schedule of its immediate folder and, finally, the service's shared schedule. If no applicable schedule exists, no utilization data is generated for that day. The schedule's validity and exceptions affect the target. See defining a usage schedule.
Daily hours: the day's target is the number of hours set for that weekday, minus the hours of the first exception that applies to the day, with a minimum of zero. Used hours accumulate from time spent in the Active status throughout the day, up to 24 hours. In the mobile apps, the same status is called In Use. The Inactive, Faulty and Deleted statuses do not accumulate active hours. The day's percentage is active hours ÷ target hours × 100, capped at 100%. If the target is zero, the day's hours and percentage are zero.
Time-based schedule: target hours are derived from the schedule's time intervals after exceptions are applied. The calculation subtracts the downtime it derives from the Inactive and Faulty statuses from these hours. The percentage is the remaining used hours ÷ target hours × 100. A zero target gives 0%.
The time-based calculation has limitations related to status sequences and crossings of schedule boundaries, and the Deleted status is not handled in the same way as other downtime statuses. In both calculation methods, a day with no status changes is interpreted using the Spot's current status at the time of calculation. Do not infer actual meter usage from the percentage alone. When do daily, weekly and monthly results appear?
The utilization report uses data precalculated in the background. Daily processing calculates the previous day according to the service's time zone. Weekly data is generated only during Sunday's processing once the week has ended, and monthly data during processing on the last day of the month. An incomplete week or month therefore has no real-time percentage for that grouping. Switch to daily grouping to view days that have already been calculated.
Weekly and monthly percentages are calculated from the sum of used hours and the sum of target hours in the existing daily data. They are not a simple average of daily percentages. With the daily hours calculation method, a day's active hours can exceed the target even though the daily percentage is capped at 100%. Weekly and monthly percentages are not capped in the same way, so they can exceed 100%.
The percentage calculation rounds the ratio to four decimal places, and the report rounds the displayed value to two decimal places. The report's time filter applies to the utilization data's calculation date: daily data is dated with the day in question, and aggregate data with the last day of the week or month. A partial date range does not recalculate a precalculated aggregate percentage using only the selected days.
Missing data is not the same as a calculated 0%. Regular daily processing does not automatically fill in all earlier missing days.
What does folder utilization mean?
In the settings panel's Group by section, select By folder. The report calculates the arithmetic mean of the included percentage records for the selected period type. The denominator is the number of existing percentage records; missing data does not increase it. A new utilization rate is not calculated for the folder from the ratio of the combined hour totals of all devices.
For example, utilization rates of 100% and 50% for two Spots in the same period give the folder 75.00%, even if the devices have different target hours. A recorded 0% is also included in the average.
The group is determined by the Spot's current immediate folder. Including subfolders in the folder filter does not combine all results into a single parent folder group. Moving a Spot to another folder can therefore also change the folder grouping of historical data.
Without target filters or grouping, the utilization report shows up to 50 Spots. These are not ranked by highest utilization. Applying a filter or folder grouping removes this default limit.
What does Machine Hours show?
Machine Hours retrieves each Spot's last recorded reading for the selected day, week or month based on the entry timestamp and rounds it to two decimal places. It does not show the sum of readings, the highest reading or the usage accumulated during the period.
If 1,250 hours is recorded first in a month and 1,268 hours later, the report value is 1,268.00. It is not 18 hours. If there is no new history entry for a period, the previous period's reading is not copied into it. A missing point does not mean the meter has zero hours.
In the settings panel, Report settings → Chart type offers Bar, Line and Spline. The display format does not change the rule for selecting the reading. A line does not indicate that readings have been recorded for the intervening times. The machine hours report displays a warning about the number of Spots at 20 Spots; limit the comparison to a set of devices that is easy to read.
In both reports, Report settings → Show average value adds the average of the series values at each time point to the chart, rounded to two decimal places. This differs from the folder utilization calculation or the average for the entire period. For machine hours, it is the average of total readings, not the average usage during the period.
Why can the history and report change?
A changed meter reading adds a machine hours history entry when the hour tracking feature is enabled. Repeating the last reading does not add a new history row. A reading entered for a task affects the Spot's reading history when the task is completed only if it exceeds the Spot's current reading.
On Android and iOS, updating a Spot's Machine Hours saves to the same data and accepts only a value greater than the current one. This guide covers viewing the report in the browser. Recording a normal reading is described in updating the hour meter reading.
Resetting machine hours preserves earlier reading history and can add a new, lower reading. If it is the last entry for the period, the report shows the corrected reading rather than the period's earlier highest reading. Resetting can also remove incomplete maintenance tasks based on hours. Check the effects in the hour tracking feature and correcting a reading.
Changing a Spot's status history in the past triggers background recalculation of existing utilization data. This can also change completed weekly and monthly results. Processing does not fill in missing days, and an inherited schedule alone is not sufficient to recalculate days if the Spot does not have its own schedule. Check the result of the correction; do not assume that all percentages have been updated. See correcting a Spot's status history.
Verify the result
Check the report's time period, time grouping and selected Spots. For utilization, open Usability monitoring → Statistics from the main menu, then Full history of usage rates from the relevant Spot's row. Verify that data has been generated for the selected period. Also check the usage schedule and Event logs. The period percentage in the Statistics table and the report's folder average use different calculation rules, so they do not have to match.
For machine hours, open the Spot from the browser's Assets, devices, tools → Datatable view. Open the reading history using the history icon next to the Running machine hours field heading and find the last entry for the report's period. If the result is missing, first check the entry timestamp and read permissions. After a history correction, wait for background processing and reopen the report.
