The Dashboard's Task chart, Service request chart and Message chart show how many records were created during the selected time frame. You can view months or years, filter by target and save the filters for later use. These instructions apply to the browser interface.
Open a chart
In the browser's main menu, open Dashboard → Dashboard. Find the chart panel you want. If it is hidden, show it using Control dashboard. If needed, see the instructions for arranging panels.
The chart includes only data you have permission to access. Different users may therefore see different counts even with the same time frame and target selections. A shared saved view does not grant additional access permissions.
Select a time frame and interpret the count
Open the search bar using the magnifying glass on the right side of the panel heading. Select the time grouping and year:
- Get months shows all 12 months of the selected calendar year. The numbers 1–12 on the horizontal axis represent January–December.
- Get years shows the selected year and the four preceding calendar years. For example, selecting 2026 shows the years 2022–2026.
Without a global default view, the initial selection is the current year grouped by month, with no target filters. Changing a selection automatically retrieves the counts again. Wait for loading to finish.
A bar's Count shows the number of tasks, service requests or messages created during that period. Each included record is counted once. This is not a percentage, so the calculation has no denominator and the counts are not rounded. A period with no matching records has a value of 0.
The period is determined by the record's creation time. A task's due date, completion or subsequent editing does not move it to another period. For example, two tasks created in January give January a count of 2, even if one is completed in February.
These charts have no selection for status, responsible person, creator or message type. The count therefore does not represent only open work: completed tasks and closed service requests, for example, are also included if they are visible to you. A visible task draft may also be included in the count.
Message chart counts message entries. It does not calculate the sum or average of measurement values or indicate the magnitude of a physical measurement. For viewing measurement data, see the separate instructions for the message measurement chart.
Filter by target
You can select multiple targets in the search bar's Select spot, Search by folder name and Search by customer name fields. Entering search text alone is not enough: select the targets you want from the search results.
- Selecting Spots includes records linked to the selected Spots.
- Selecting a folder includes records linked to Spots in that folder and its subfolders.
- Selecting a customer includes Spots in folders that have the selected customer assigned to them. It does not filter service requests by the sender's name.
The selections combine into a single set of Spots. They do not narrow each other down. If you select an entire folder and one Spot, all Spots in the folder and its subfolders are still included, along with the separately selected Spot. A Spot appearing in multiple selections does not multiply the count. To view only one Spot, remove the folder and customer selections.
With no target selections, all records visible to you are included. When you use any target filter, a record must be linked to a Spot in the selected set. For example, a service request without a Spot may appear in the total count but be excluded from a filtered chart. An empty folder does not add any records.
The X on the right side of the search bar clears the Spot, folder and customer selections and retrieves the counts again. The year and monthly or yearly grouping remain selected. Pressing the magnifying glass again only hides the search bar; it does not remove the filters.
Save and open chart filters
- Make the time and target selections you want in the chart.
- Open the save icon to the right of the panel heading, next to the magnifying glass.
- In the window that opens, select Save view.
- Enter a descriptive name in the required Name field and press Save view.
Saving preserves the time grouping, selected year and target selections for this chart type. The year is saved as a specific year: for example, a saved selection of 2026 does not automatically change to 2027. Saving does not preserve a fixed copy of the counts.
Open a saved selection using the same save icon. Select the view's radio button in the Your views or Global views list and press Select saved view. The chart restores the settings and retrieves the current counts based on them. Changing the filters does not update a previously saved selection; save a new selection if you want to keep the new combination.
Saving a chart is separate from saving the panel layout using Control dashboard and from saving table views. Save the filters for each chart you need separately.
Shared views, defaults and deletion
A manager user can save their own chart selections and open global selections. Administrators also see Global view and Global default view in the save form.
Global view makes the selection available for other manager users to open. Global default view also makes it a shared view and loads it into that chart when the page is opened. If there is no global default, the chart uses the system's initial selections. Saving your own view does not automatically make it your personal default.
Note: saving a new global default view to replace an existing one completely deletes the chart selection previously saved as the default. It does more than change which view is marked as the default. The interface asks you to confirm the replacement. If you need the previous filters, first save them as a separate view without selecting the default option.
Delete an unwanted saved selection using the trash icon on its row in the save window's list, then confirm the deletion. The trash icon is shown only for selections you have permission to delete. An administrator can delete a global default. Deletion removes the saved selection, not tasks, service requests, messages or their history. If you delete the global default, the next page load uses the system's initial selections unless a new default has been set.
Check the result
Open the search bar and verify the time grouping, year and all target selections. Check a few included records based on their creation dates and Spot links. Status filters in a list used for comparison may make its row count differ from the chart's count.
Open the saved view again and check that the settings are restored. The chart displayed in the browser represents the result of the most recent search. When data has been added or changed, retrieve the counts again by changing a selection or reloading the page. Reloading the page restores the global default or the system's initial selections.
Entries successfully saved to the service from Android and iOS are also part of the same data. Their inclusion depends on their creation time, Spot link, filters and the permissions of the user viewing the chart.
The charts do not have their own Excel export function. If you need to review the records, use the corresponding table list and the table view's Excel export. Check the table's filters separately: the chart's target selections do not, on their own, determine which data is included in the table export.
