The task list helps you find and filter tasks. Kanban displays tasks in columns by status. Choose a view depending on whether you are looking for a specific task or checking how work is progressing.
Filter the task list
- Open Tasks in the browser and select the Datatable view.
- Check the The task has been created or is due filter.
- If needed, filter by status, Responsible user/role, Spot or another search criterion.
- Open the task you want by clicking its name.
If you cannot find a task, select a wider date range and remove unnecessary filters. The creation date and due date are different details, so also check what the current filter applies to.
You can use the column selector to display the Signatures required from and Signatures missing from columns, and search their contents using the column search fields. For completed tasks, the first column shows the signatures provided, and missing signatures are not displayed.
From the menu in the Folder column header, you can select Full folder path or Folder name only as the sorting method. Full folder path sorts folders starting from the root folder.
Use Kanban
Open Kanban to view tasks in their status columns. Open a card to see the full task. Moving a card from one column to another may change the task's status, so only do this when you intend to change its status.
Tasks are loaded into columns in batches. Scroll down within a column to load more tasks matching your search criteria. Kanban no longer has fixed limits based on the number of draft tasks, the due dates of open tasks or the completion dates of completed tasks. You can therefore also search Kanban for older tasks and tasks scheduled further into the future.
If needed, filter Kanban by criteria such as Spot, folder, Responsible user/role or due date. The folder filter also includes subfolders. Kanban's date filter applies to the due date. If you cannot find a task, check the filters and keep scrolling through the appropriate status column.
Draft tasks are sorted by their latest update, and completed tasks by their most recent completion. In the other columns, tasks are sorted by due date.
Save a view
Set the filters and select the columns you need, then use Save view. Give the view a name that describes its purpose, such as open tasks for your maintenance team. You can later use Select saved view or Return default view.
The Datatable view also saves the sorting method for the Folder column. A saved Kanban view restores the filters and whether each column is expanded or collapsed.
A saved view does not change tasks or extend access permissions. Check the active view before making bulk changes to ensure you are working with the correct data.
