Product information fields describe product properties, such as material or model designation. The product register has ten shared fields. Their names, types and order are the same for all products, but their values are entered separately for each product.
Prerequisites and permissions
Configure the fields in the browser as an administrator. The warehouse feature must be enabled. The Product information tab for field configuration is hidden from Manager users. Permission to edit products alone does not grant permission to change the shared field configuration.
Configuring the fields
- Open Products → Product settings → Product information.
- Open a field by clicking its name or the pencil icon.
- Enter the Field name, select the Field type and set the Order.
- Select Save.
You can also change the settings by double-clicking a table cell. The cell change is saved when editing ends.
- Field name describes what the value entered for a product means. Use a descriptive name, such as Material.
- Short text field is suitable for text and combinations of letters and numbers, such as the model designation A12.
- Number provides a numeric input on the product form. Use it for properties you want to compare as numeric values.
- Order is a number from 1 to 10. A lower order number displays the field earlier on the product form. Use a different order number for each field so that the order is unambiguous.
All three settings are required. Initially, the fields are named Tuotetieto 1–10 and their type is Short text field. This view lets you edit these ten fields; you cannot add new fields or delete existing ones.
How do changes affect existing products?
Changing the name changes the label of the same field for all products. Changing the order moves the field, but its value stays with the correct field. Neither change clears values saved for products.
Changing the type also preserves saved values as they are. However, it changes the input method on the product form and searching and sorting in the product table. If you change a text field to the Number type, check the existing values before editing them again: for example, A12 does not become a number.
You do not need to enter all ten values for a product. Changing the shared configuration does not fill in missing values. To change or clear a value for an individual product, edit the product's details. This does not change other products' values or the shared field configuration.
Effect on searching and the mobile view
The product information columns in the product table are based on the shared configuration: the name appears as the column heading, and the type determines how searches work. Text searches also match part of a value, regardless of case. Numeric searches compare numbers: for example, >10 finds the value 12 but not the value 2. Entering just 12 searches for the numeric value 12.
Numeric searches accept saved numbers with a period as the decimal separator, if any. For example, 12.5 is valid, but 12,5 or 12 mm is not a valid numeric value. These existing text values remain saved when the type changes, but numeric search conditions do not find them. When sorting numerically, they appear at the end, like missing values. An invalid numeric search condition does not filter the results.
Reload the browser view after changing the configuration so that previously loaded column headings and search types are also updated.
On Android, the product's Product Details section, and on iOS, its Product details section, show the fields saved for the product, with their names and values in the shared order, when the product's details are fetched again. The shared configuration is set in the browser.
Product information and measurements
The shared product information fields are separate from the product's Weight, Length, Width and Height fields and the Measure unit selection. Naming a product information field Length, for example, does not link it to the product's actual Length field or perform unit conversions. If necessary, include the unit to use in the additional field's name.
Product information fields are configured separately from Spot attributes and device cards. For instructions on viewing and filling in values for individual products, see How do I find a product and check its product information?
