Deleting a customer removes the customer from the customer register and breaks associated links. Delete customers in the browser. The customer views in the Android and iOS apps do not have a customer deletion function.
When can a customer be deleted?
You need permission to view and delete the customer. Edit permission alone is not enough. The trash icon on the row is displayed based on delete permission, but this does not guarantee that the customer's links allow deletion.
A customer cannot be deleted if they have even one contract or an offer linked to them. The status of the contract or offer does not remove the customer link: expired or archived contracts and archived offers also prevent deletion. An offer moved to the Deleted status also prevents customer deletion if the offer is still linked to the customer. The error message about contracts refers to active contracts, but the check covers all of the customer's contracts.
If you want to stop actively using the customer while retaining their details and links, set the customer's status to Not in use. The customer remains in the register and can be made active again. Changing the status does not delete contracts or offers or bypass anything preventing deletion. See changing customer details and status. Do not delete contract or offer history that you need just to make it possible to delete a customer.
What does deletion change?
Before confirming, check the customer's name, customer number and linked folders. When deletion succeeds:
- The customer is removed from the customer register.
- The customer's links to their folders are removed. The folders, their subfolders and Spots remain. The folder's separate delivery customer information is not cleared when this customer link is removed.
- The customer's links to contact persons are removed. The people remain in the contact register.
- The customer's discounts, product pricing margins and price list links are removed. The price lists and products remain.
- Work orders remain, but the deleted customer is no longer shown in their customer information.
Deletion does not delete tasks, service requests or messages associated with the Spots in the folders. However, their customer link comes through the folder, so they are no longer associated with the deleted customer. This affects, for example, filtering the task table by customer. In the Dashboard's breakdown of time spent on tasks by customer, the entries no longer belong to the deleted customer, although the user's total time remains.
Deleting a customer is different from setting the customer to Not in use or clearing all associated history. A deleted customer cannot be restored by changing their status.
Delete one customer
- In the browser's main menu, open Customers, then Customers under it. On the page's Customers tab, select Datatable.
- Find the customer using the filter in the Name or Customer number column and check that you have the correct row.
- Click the trash icon on the customer's row. The trash icon in the table header does not delete an individual customer.
- Confirm deletion by selecting Yes. Select No to cancel.
After successful deletion, the row disappears from the table and you receive the notification Deleted successfully. If deletion is blocked, the interface displays an error and does not remove the row. Check the customer's contracts and offers, as well as your delete permission.
Delete multiple customers
- In the same customer table, select the checkboxes on the rows of the customers you want to delete.
- Open the Actions menu in the checkbox column header and select Delete chosen rows.
- Check the number of selected customers in the confirmation and confirm by selecting Yes.
Bulk deletion is processed in the background, so it may take a moment. The notification Deleting process started. Remember to refresh the page to see the changes. confirms that processing has started, not that all selected customers have been deleted.
Only some of the selected customers may be deleted. Only customers you have permission to delete are processed. Customers with contracts are skipped, and deletion of a customer linked to an offer is blocked. Failure to delete one customer does not undo successful deletion of the others.
Check the result
Reload the page; for bulk deletion, first allow time for background processing. Clear the other filters in the customer table and search by name or customer number for each customer selected for deletion. A row's absence from a filtered view alone does not prove that the customer has been deleted.
If a customer remains visible, check what is preventing deletion. Bulk deletion does not display a list of results for each customer; attempting to delete an individual customer displays any error. If you are unsure whether processing has finished, ask an administrator to investigate.
Also check the previously linked folders. Open Folder tree, click the folder's name and open the form's Customer tab. The deleted customer must no longer appear in the Folder customer field.
