You can create a new task in the browser based on an existing task. Copying opens a prefilled creation form: the new task is only created when you save it. You can also use a completed task as the basis for new work. The original task and its completion details are preserved.

Before copying

You need permission to view the original task and permission to create a new task for the selected Spot and responsible parties. Being able to see the original task or the copy button does not guarantee permission to create a task. If you change the Spot or responsible parties, the new selection must also be within your permissions.

The copy is based on the information in the open form. Unsaved changes may also be included in the copy. Copying closes the original form without saving its changes. If the changes should also apply to the original task, save them first using the Save button at the bottom of the form.

Open the creation form for the copy

  1. In the browser menu, open Manage tasks → Tasks → Tasks.
  2. Find the original task and open its form using the pencil icon on its row in the task table.
  3. Select Copy on the separate row of buttons at the bottom of the form.

The original form closes and the creation form for a new task opens. The copy has not yet been saved. If you decide not to create the new task, select Cancel at the bottom of the creation form.

Check the details of the new task

The copy may retain planning information and links from the old task. Review the information to make sure it suits the new task.

  • On the Basic info tab, check the Spot and, in the Base details section, the task template, task form, name and description. A standard new task requires a Spot, a name, a responsible party and a due date.
  • In the Responsibility and schedule section on the same tab, check the responsibilities, due date, estimated working time and resourcing times. Copying does not automatically shift old dates to a new period. The due date, resourced working time and actual time entries are separate pieces of information.
  • Also check the task requirements, email notification and Mobile resourcing permissions. The review, time entry and machine hour requirements for the new task must match how it will be carried out.
  • In the Attach task to section, check Link to service request and Work order. These links may be carried over. Change or clear them if the new task does not belong to the same overall work. The link to an offer is not carried over, and the copy does not retain the original task's membership in a contract or group task.
  • In the Billing information section, check the references and sales order number. Task number is cleared when copying. If automatic numbering is enabled, the empty field receives a new number when you save. A manually entered number must be unique; do not use the original task's number.
  • On the Repetition tab, check the repetition interval, repetition method, allowed weekdays and end limit. The copy does not continue the original task's repetition chain. If repetition is retained, the copy starts its own chain, with the copy counted as the first task in the total. The next repetition is only created once the task has been completed and, if required, reviewed.
  • On the Signatures tab, check the signature request settings. The request name and signatory selection may be carried over, but an existing signature is not transferred as a signature for the new task.
  • If products are enabled, check the products, quantities, warehouses, warehouse slots and purchase batches on the Products tab. Do not assume that unsaved product changes in the original form will be carried over exactly as they are. Products from the task template are added when saving, in addition to the copied product rows, so check for duplicates and remove unnecessary editable rows using their trash icons. Check the product rows again after saving: completing the new task may cause a separate stock deduction.
  • If this is a maintenance route, check the targets, order and inspection fields on the Maintenance route tab. The structure may be carried over, but previous completion entries and additional information are cleared.

The task template also affects the copy. The template's current repetition and requirement settings are applied when saving. The template may also provide a work order, estimated working time, products, categories, signature requests and a maintenance route structure. Some fields are locked because of the template. The copy is therefore not an unchanging replica of the old task. Check the selected template before saving; changing a shared template may affect other tasks too.

Existing person resourcing is retained during normal task creation. If a person assigned responsibility has no resourcing, the service's default resourcing may generate a time based on the due date, the number of preceding days, the start time and the duration. Responsibility assigned directly to a role is not resourced by this process. Check the saved time, especially if you change the due date or responsible parties.

Which execution details are not copied?

The new task does not inherit the original task's handler, start or completion details, time entries, comments, review details, attachments, completed task form sections or PDF reports. The selected task form and its previous answers are separate things: the copy's form is filled in as part of the new task. Add any attachments needed for the new task separately.

Copying does not reopen the original completed task or transfer its execution history to the new task.

Save and verify the result

Select a saving option at the bottom of the creation form:

  • Create and close saves the new task and closes the creation form. The task is open or overdue depending on its due date. A due date in the past makes the copy overdue.
  • Create saves the new task, starts its processing under the current user's name and opens it for processing. This requires selecting one Spot and having permission to view and edit the new task.

If you select multiple Spots, use the Create and close button. A separate task is created for each Spot. The remaining tasks are created in the background, so the success notification for the first task does not yet confirm that all tasks have been created.

Open the new task from the task list and check its task number, Spot, status, due date, responsibilities, resourcing, links and any product rows. When creating tasks for multiple Spots, wait a moment and verify that there is a task for each selected Spot. If saving displays an error, correct the indicated information or permissions. If the task was created but could not be opened, find it in the list before creating another copy.
