A Spot’s spare parts list shows the products associated with the equipment. A task’s product row specifies the amount used for that job and may affect the stock balance.
Link a spare part to equipment
- Open the spare parts editor for the equipment, i.e. the Spot.
- Search for the product by name or product code.
- Select the required products using the controls in the Selected spare parts column.
- Save and check the Spot’s spare parts list.
This link helps you find a suitable spare part for the equipment. Linking alone does not record consumption of the part from stock.
Add a product to be used in a task
Open the task’s products and select Add new product in the browser. On Android and iOS, select Add Product. Select the product, amount, and the required warehouse and warehouse slot. In the browser, you can select a specific purchase batch if the product must come from that batch. Save the product details and the task.
The stock balances of the selected products are reduced when the job is marked as completed. To record the stock transaction, the product row must have a warehouse and a warehouse slot belonging to it selected. If no purchase batch is selected explicitly, the system selects one automatically according to the warehouse’s practices. Check the product, amount and warehouse slot before completion.
The balance notification helps you identify a shortfall. Resolve any missing warehouse selection or insufficient balance before marking the job as completed so that the parts used are recorded correctly.
If you add spare parts to several Spots at once, check the equipment selection separately. The same product may not be suitable for all equipment with the same name.
Add a comment to a product row
You can add a comment to a task or service request product row in the browser, on Android and on iOS.
- In the browser, open Add comment using the plus icon on the product row. Enter the comment, save it, and save the task or service request.
- On Android and iOS, select Add Comment in the window for adding or editing a product. You can open and edit an existing comment by selecting View Comment. You can delete the comment using the trash icon. Finally, save the product details.
You cannot edit the product rows of a completed task. Make any changes to comments before completing the task as well.
Override a product row’s sales unit price in the browser
If Free product pricing is enabled and you have permission to edit products, you can set a custom sales unit price for a task or service request product row.
- Save the added products and open the task or service request for editing.
- Find the pricing summary below the products and enter the desired price in the row’s Override unit price field. The price can be zero or greater.
- Compare the Original total and Override total values. Totals are shown excluding VAT.
- Save the task or service request.
The price override applies to that product row. Prices for other rows are determined as usual. You can restore normal pricing by clearing the Override unit price field and saving the change.
You cannot change the price of a completed task. You cannot edit a service request’s price override if the service request is completed, forwarded or cancelled.
If an offer is linked to the task, the browser’s products section also shows Offer total sum (VAT 0%) and any Offer cost rows. You can view the cost rows imported from the offer here.
