Warehouses are deleted in the browser. A deleted warehouse disappears from regular warehouse lists and selection lists on Android and iOS as well when the data is reloaded. The warehouse views in the mobile apps do not have a delete function.
Permissions and preparation
The Warehouse feature must be enabled. You need access to the warehouse and permission to delete warehouses. Edit and delete permissions are separate: edit permission alone is not enough to delete a warehouse. The system's Projektilla warehouse cannot be deleted.
In the browser, open Manage warehouses → Warehouses and select the warehouse to delete on the Warehouses tab. Check the product and warehouse slot balances in its Warehouse balances section. Clear the table's search filters and, if necessary, clear the Show only products with balance checkbox above the table so that you can also see zero balances.
Transfer any remaining products to their actual destination warehouse or record their actual issue before deleting the warehouse. Corrective transactions require the appropriate permissions. Stocktaking should be used to correct an actual discrepancy in the balance, rather than simply to enable deletion. Before deleting the warehouse, also check any transaction and value information you need. After deletion, the warehouse's own information can no longer be opened through the regular warehouse list. References retained in the background do not guarantee that all previous history and report views will remain available.
What balance prevents deletion?
Deletion is blocked if the total quantity across all product-specific warehouse slot balances in the warehouse is positive. The check uses stored quantities, rather than warehouse value or only the rows visible on screen or included by filters.
The check does not require every individual balance to be zero. For example, a balance of +5 for the same product in one slot and −5 in another totals 0, so this balance check does not prevent deletion. Still, investigate both balances before deleting the warehouse: a total of zero does not prove that the warehouse is empty.
The balance table excludes deactivated and deleted products, as well as records without an associated purchase batch. However, the deletion check includes all stored slot balances in the warehouse. If deletion reports balances even though the visible list is empty, investigate these records with an administrator as well.
Delete a warehouse
- Select the warehouse to delete from the list on the Warehouses tab.
- In its Basic info section, select Edit, which has a pencil icon.
- At the bottom of the edit form, select Delete, which has a trash can icon. The button is visible only if you have delete permission.
- Read the confirmation. Select Yes to delete the warehouse or No to cancel.
Yes starts deletion immediately. You do not confirm deletion again with the Save button. After successful deletion, the form closes and the warehouse disappears from the list. If you receive an error message, investigate its cause and check the warehouse's status before trying again.
What happens to the data?
A previously used warehouse is retained as deleted. If the warehouse has product slot records, it is marked as deleted even if their balances are already zero. The warehouse and slot records remain in the background for existing references. Deletion does not reset balances or reverse earlier receipts, transfers or other warehouse transactions.
An unused warehouse can be deleted completely. If there are no product slot records, the system attempts to delete the warehouse completely. If an existing reference prevents this, the warehouse is retained as deleted. Complete deletion also removes the warehouse's value breakdowns, warehouse-specific product values, default warehouse slots for products and warehouse-specific alert limits. Warehouse links for value adjustments are removed, and the warehouse is removed from alert recipients' warehouse selections. These consequences apply to complete deletion, rather than simply marking the warehouse as deleted.
The name of a warehouse retained as deleted may prevent you from creating a new warehouse with the same name. A warehouse reference previously selected for a task or service request may also still appear when editing its product line, even though the warehouse is missing from regular selection lists.
Warehouse slots and tags
When a warehouse is retained as deleted, its warehouse slot collection is also hidden unless another warehouse that has not been deleted uses the same collection. This exception applies to older shared slot collections. Simply clearing the Warehouse in use checkbox for another warehouse does not make it a deleted warehouse.
When a slot collection is marked as deleted, the links for tags attached to its slots are removed. The tags remain in the register, but they no longer point to these warehouse slots.
The slot collection of an unused warehouse that is deleted completely may remain visible, and deleting the warehouse does not then automatically remove the tags attached to its slots. However, if the collection was also associated with a warehouse previously retained as deleted, it may be marked as deleted and its tag links removed.
Warehouse in use is a separate setting
Clearing the Warehouse in use checkbox on the edit form and saving the change with the Save button retains the warehouse. It does not mark the warehouse as deleted, clear its balances or hide its slot collection as deletion does. Clearing the checkbox is blocked by the same check for a positive total balance.
Clearing this checkbox should not be treated as a guarantee that all warehouse transactions will be prevented: regular warehouse lists do not exclude the warehouse based on this setting. See also warehouse and warehouse slot settings.
Check the result
Reload the warehouse list in the browser and confirm that the deleted warehouse no longer appears. On the Warehouse slot collections tab on the same page, check whether the collection remains visible according to the rules described above.

On Android and iOS, refresh the Warehouses list by pulling down on it. The deleted warehouse should disappear from the reloaded list. An old view that is still open does not by itself confirm the result of deletion.
