In Spotilla, devices, machines and other items are called Spots. You can create a Spot in the Android or iOS app by giving it a name, description and folder. Device card details and other additional information are filled in after creation. Tasks and service requests are created separately.

Before you create a Spot

Sign in to Spotilla and make sure your phone has an internet connection. Data is saved to the server. You need edit permission for the selected folder; view permission alone is not enough.

Select the correct folder for the device. In the mobile app, a Spot can be placed in a folder that has no subfolders. The folder also determines the Spot's device card fields and whether machine hours are enabled automatically.

Search for the device before creating it if it might already be in Spotilla. Having the same name does not prevent another Spot from being created.

Create a Spot on Android

  1. Open the Devices view and select the Add button with a plus icon at the bottom centre of the list.
  2. Enter the Name of new Spot. Use an easily recognisable name, such as Grundfos CR 10 pump – P-042.
  3. Fill in the Description if needed, for example to describe what the device is used for.
  4. Open the Folder field on the form. Open the relevant subfolders and tap a suitable folder that has no subfolders. Selecting it returns you to the form.
  5. Check the details and select Create Spot at the end of the form.

After the Spot is saved successfully, its details open directly.

Create a Spot on iPhone or iPad

  1. Select List from the bottom menu. Tap the ADD button with a plus icon at the bottom centre of the list.
  2. Fill in the Name of the spot and, if needed, the Description.
  3. Open the Folder selection on the form. Navigate through the subfolders and tap a suitable folder that has no subfolders. The app returns you to the creation form.
  4. Check the details and select Create spot at the end of the form.

The create button is grey when the name or folder is missing. When the Spot is saved successfully, the app displays Spot saved! and returns to the list. Open the saved Spot by tapping its row.

What is saved when a Spot is created?

The name and folder are required; the description is optional. The maximum length is 512 characters for the name and 4,096 characters for the description.

A new Spot is saved as active. In the Spot details on both Android and iOS, this status is shown as In Use. The status is not selected on the mobile creation form.

If a device card has been assigned to the folder, its fields are automatically added to the Spot in the order specified by the folder. Their values are not filled in on this creation form. Check the card after creation and fill in the device details. Separate instructions for editing Spot details are available for browser use.

If machine hours are enabled in the folder, they are also enabled for the new Spot. The machine hour reading starts at zero, because it is not entered on the creation form. Zero does not mean that the device's physical meter reads zero. Check the device's actual total reading and record it after creation; see updating the reading in the browser.

The mobile creation form does not let you attach a tag or files, or set a location, current value calculation details or a reservation cost. You can attach a tag in the mobile app after saving. If you want to fill in device card details during creation, use the browser creation form.

Check the result and troubleshoot saving problems

Check the saved Spot's name, description, folder, status and device card fields. If you cannot find the Spot in the list, use the list's magnifying glass button to search for it by name.

You cannot select a folder, or it is not visible: navigate through the folder tree to a folder that has no subfolders. If the correct folder is missing or the app reports that you do not have permission, ask your organisation's administrator to check your folder permissions.

Android accepts the folder, but saving is rejected: folder selection may accept create permission alone, but saving in the mobile app requires edit permission for the folder. Ask the administrator to check your edit permission as well.

The form reports missing or invalid information: check the name, folder selection and text lengths. The name cannot consist only of spaces.

You are unsure whether the Spot was saved: check your internet connection and search for the Spot by name before trying to create it again. If you find the Spot, open it and check its details. This helps you avoid creating the same device twice.
