Spotilla calls devices, machines and other assets Spots. Adding a device as a Spot keeps its information in one place and lets you link tasks and service requests to it.
You need permission to create Spots in the selected folder. These instructions apply to the browser.
Create a Spot
- Open Assets, devices, tools in the menu.
- Select Create new spot.
- Enter a recognisable Name. A useful name includes the make, model and unique identifier, for example Grundfos CR 10 pump – P-042.
- Add a Description if needed, such as the device's purpose.
- Select its Folder. Search by folder name and choose one without subfolders.
- Check Status. A new Spot defaults to Active.
- Complete Device card details if the folder uses one. Its device card determines the fields shown.
- Select Create new spot at the bottom.
The Spot's details open after successful creation. Check its name, folder and device information. You can add details later.
What should I enter on the device card?
The device card groups properties such as manufacturer, model and serial number into separate fields. Fields vary by organisation and folder. Enter the information you have.
If the folder has no device card, use Add new attribute to add individual fields. Select the attribute and enter its value. If an attribute is missing, ask your administrator to check field definitions.
Why can I not add a Spot?
The folder cannot be selected. A folder with subfolders cannot contain a Spot. Go further down the tree and select a suitable folder without subfolders.
The folder is missing or permissions are insufficient. Ask your administrator to check your access and the correct folder.
The form reports missing information. Check at least name, folder, status and other indicated fields. If entering current-value calculation details, also complete Invest price, Purchase date and Depreciation years.
The save result is unclear. Check the error and search for the Spot by name before creating it again to avoid duplicates.
